Production and Operations Administrative Assistant

Edinburgh office, Salary £22k pro rata, DOE  
Part time: 15-18 hours per week (schedule tbc depending on availability of candidate)
Closing Date: 5pm, Friday 4 August 2023

As the Production and Operations Administrative Assistant, you will work closely with the Head of Production and Operational Support on administrative projects across all aspects of the business.  The role will involve supporting the Editorial, Events, and Sales teams as well as contributing to the day-to-day running of the Edinburgh Office.

Key responsibilities

  • Maintaining and updating magazine distribution lists, including supporting the Head of Production on the annual mailing data audit.
  • Customer service for current subscribers and subscription enquiries.
  • Updating and managing the Holyrood publication archive/library
  • Editorial research for the annual directory publications (Political Guide and Communications Guide) as well as occasional research support for other publications
  • Assist with the registering of event sponsors, exhibitors and speakers 
  • Support with printing of delegate name badges  
  • Database cleansing and building for specific areas as needed by events  
  • Prospect list creation
  • Assist with ensuring all office supplies are available and replenished, including ordering stationary, refreshments, and materials.
  • Monitoring general office phone number and voicemail
  • Coordinating occasional staff travel as requested.
  • Booking couriers 
  • Assist MD and all department heads as needed (general support and specific projects as advised)

What we are looking for

  • Comfortable working in person, within an office environment.
  • Relevant experience in a similar role.
  • Strong administration skills.
  • Excellent communication and interpersonal skills with the ability to communicate effectively at all levels.
  • Ability to creatively solve problems.
  • Attention to detail.
  • Highly organised and can deal with multiple simultaneous projects with varied deadlines.
  • (Preferred) Interest in Scottish policy and politics.
